Managing Client Email Notification Preferences

Administrators can control which email notifications a Client receives for each of their Students. There are two types of notifications that can be toggled independently: Lesson Report emails (sent after a Lesson is completed) and Attendance emails (sent when Attendance is recorded).

These settings are managed per Student, so a Client with multiple Students can have different notification preferences for each one.

Note: This feature is available to Administrators only. Clients, Tutors, and Students cannot see or change these notification settings.

Toggling the email notifications

Navigate to the Clients page

From the main navigation bar, click Clients to view the list of Clients in your organization.

Open Client's details page

Click on your Client's name to open their details page. You will see the Students section listing the Students linked to this Client, as well as the 'Email Notifications' section.

Turn off a notification

Click the toggle next to a notification type to turn it off. The toggle will change from green to grey, indicating that the Client will no longer receive that type of email for that Student.

In this example, 'Lesson report emails' have been turned off for Alex Thompson while all other notifications remain enabled.

Note: Each Student's notification preferences are independent. Turning off notifications for one Student does not affect the other Students linked to the same Client.

Turn a notification back on

Click the same toggle again to re-enable the notification. The toggle will return to green, and the Client will start receiving those emails again. The change is saved automatically.

Note: Changes are saved immediately when you click a toggle - there is no separate 'Save' button.

Emails set for the whole organization

The per-Student toggles above cover Lesson Report and Attendance emails for an individual Client. Bobbin also sends emails about the Lessons themselves, and those are switched on or off for everyone at your organization at once rather than per Student. You'll find them by navigating to Workspace > Settings > Emails:

  • Send lesson-scheduled emails when lessons are created - the Students, Tutors and Clients on a Lesson get an email with the Lesson details when it's booked.

  • Send reminder emails before lessons start - a reminder goes out shortly before each Lesson. Each person sees the time in their own timezone, so you don't need to think about where they are.

  • Send emails when lessons are rescheduled or canceled - participants are told what changed when a Lesson moves, is canceled or is deleted. Turning this off means they aren't told.

  • Send attendance emails after lessons start - Administrators and Clients get an email ten minutes after a Lesson starts showing who is present and who is absent.

Connected to TutorCruncher?

The scheduled, reminder and reschedule emails are only sent to people managed directly in Bobbin. Students, Tutors and Clients synced from TutorCruncher are notified by TutorCruncher instead, using its own email settings and templates.

So if a Client tells you they didn't get a Lesson reminder, check TutorCruncher's settings rather than Bobbin's - enabling the Bobbin setting won't send them anything.

Turning one of these off applies to everyone, so it's worth deciding as an organization. If a particular Client doesn't want Lesson Reports or Attendance emails, use their per-Student toggles instead. Individual Administrators can also opt out of attendance emails from their own profile without affecting anyone else.

Attaching Report PDFs

By default the Lesson Report email contains a summary and a link to the full Report online. You can also have the Report attached as a PDF, which some families prefer. An Administrator turns that on under Workspace > Settings > Lessons, using the Attach report PDF to lesson report emails setting. For more information, see Creating a Lesson Report.

When you send Report PDFs manually from a Lesson, any Client who has turned off Lesson Report emails is skipped automatically, so the toggles above are respected either way.
