Creating a Lesson Report

Learn how to finalize a Lesson and send a Report here.

Written by Raashi Thakran

After a Lesson has been delivered, Tutors can view the Lesson transcript and other information generated by Bobbin, and use it to fill in a Lesson Report that's sent to each Student's linked Client.

After a Lesson has finished, Bobbin starts generating the Lesson Report data. This can take up to 15 minutes, and when it's ready, every Tutor on the Lesson is emailed and asked to complete the Lesson Report. Tutors can switch this email off for themselves with Lesson ready for review under Notifications on their profile.

The summary, chapters and insights are written in the language the Lesson was taught in, so a Lesson taught in Spanish gets its insights in Spanish.

Tutors are guided through the AI-generated Lesson data and can review and edit it, as well as give feedback to the team. To make changes to any section, hover over the content and click Edit.

Tutors are also prompted to complete the Tutor notes if your organization has made them required. Choose whether Tutor notes are required under Organization > Settings > Lessons with the Require tutor notes on lesson completion setting. Tutors can also write these notes during the Lesson, from the Notes view in the classroom's Lesson tools.

Once the report is finalized, the Lesson is marked complete and an email is sent to each Student's linked Client, using the email address on their profile, with a short summary of the Lesson and a link to view the full report.

The Client can also view the Lesson recording and transcript using this link, as long as your Who can view recordings setting includes Clients and no Student on the Lesson has opted out of recording or sharing.

Note: Report emails for a Lesson with a large number of Students are prepared and sent in batches, so a big group Lesson goes out reliably rather than all at once.

Note: Clients who haven't accepted their invite to Bobbin yet don't get report emails. When you send reports manually, Bobbin tells you if anyone was left out for this reason. See Inviting people to Bobbin.

Students who didn't attend

Only Students who attended a Lesson get a Lesson Report, so a Client isn't emailed a report for a Lesson their Student missed. A Student counts as absent if they didn't join the online classroom and weren't marked present on the register. Joining the classroom early and leaving before the Lesson starts also counts as absent, and so does being in an online Lesson for less than a minute. Tutors only need to write notes for the Students who'll get a report.

If there's no attendance record for a Lesson at all (no one used the online classroom and no register was taken, for example an in-person Lesson), Bobbin can't tell who was there, so every Student on it still gets a report. If the Tutor used the online classroom but a Student didn't join and wasn't marked present, that Student is treated as absent and doesn't get a report.

If a Student did attend but shows as absent (for example, siblings sharing one device), mark them present on the register. This corrects their attendance, but it won't create a report for a Lesson that's already complete.

When a Lesson has no insights

While Bobbin is waiting for a Lesson's transcript, or analyzing it, the Lesson shows Analyzing this lesson. The insights appear on their own when they're ready, so there's nothing to do.

If the insights don't come, the Lesson tells you why, and what will help:

  • We didn't receive a transcript: click Try regenerating insights.

  • The Lesson wasn't held in a Bobbin space, the Bobbin session was too short to analyze, or the Bobbin session never ended: regenerating won't help here. Use End lesson to finish it, and the Tutor writes the report themselves.

  • A Student on the Lesson doesn't have recording consent: the Lesson wasn't recorded. See Recording and sharing opt-outs.

Lessons without a usable recording

A Lesson doesn't need a recording to be reported on and closed out. If the recording is missing or didn't come through, the Lesson can still be completed and billed as normal - the Tutor simply writes the report themselves rather than starting from AI-generated insights.

The same applies when a Student has opted out of recording. The Lesson says so clearly, and the Tutor writes the report themselves. See Recording and sharing opt-outs.

If a classroom session ran but wasn't matched to its Lesson, you can link it from Unlinked sessions so its attendance, chat and transcript move onto the Lesson.

A Tutor who was added to a Lesson that already existed can mark it complete in the same way as anyone else on it. Once a Lesson is complete, it can't be deleted, so its report, transcript and notes are kept.

When insights arrive after the report was sent

Sometimes a Lesson's transcript arrives late, so its report goes out before the AI insights are ready. Bobbin keeps trying to fetch missing transcripts for recent Lessons in the background, so the insights can appear on the Lesson later without anyone doing anything. This doesn't send any emails.

When it happens, Administrators see a notice on the Lesson saying Clients have the report without the insights. You can then:

  • Click Send updated report (or Send updated reports for a group Lesson) to email Clients the new version, which adds the summary and Student insights. Clients who've turned off report emails are skipped.

  • Click Don't send to leave the report as it is. The insights stay on the Lesson.

If report approval is on, the button sends the updated reports back to Report approvals instead, and Clients are emailed once they're approved.

Reviewing and approving reports before sending

By default, a report is emailed to the Client as soon as the Lesson is marked complete. If you'd like an Administrator to check reports before Clients see them, go to Organization > Settings > Lessons and turn on Require admin approval before sending reports.

Approval is off by default, and turning it on only affects Lessons completed from that point onwards. Once it's on, you'll see Report approvals appear under To review in the side menu.

With report approval switched on, when a Tutor completes a Lesson, its reports are held rather than emailed, and the Lesson enters the Awaiting Approval stage. If none of the Students on the Lesson will get a report (for example, nobody attended), there's nothing to approve, so the Lesson completes straight away.

Held reports appear on the Report approvals page, and the number awaiting approval is also shown on your Dashboard. Open a report to review it, make any edits, then approve it. Approving sends it to the Client - including any edits you made.

You can approve reports one at a time, or several at once. Once the last held report on a Lesson has been approved, the Lesson moves to Complete.

Progress Reports have their own separate approval setting, Require admin approval before showing progress reports, in the same place. See Progress Reports.

Downloading a Lesson Report as a PDF

Administrators can download a finalized Lesson Report as a PDF from the Lesson page by opening the Report menu and choosing Export as PDF. If the Lesson has a single Student, this produces one PDF; if it has several Students, you'll get a zip file containing one PDF per Student.

Emailing a Lesson Report PDF to Clients

You can email Lesson Report PDFs straight to your Clients. Open the Lesson, open the Report menu and choose Email to clients, then choose which Students you'd like to send reports for. Any Clients who've turned off report notifications are skipped automatically, and so are Clients who haven't accepted their invite yet. Bobbin tells you if any were left out.

Attaching the report PDF to the Client email

By default, the email sent to Clients contains a short summary of the Lesson and a link to view the full report online. If you'd like the report attached as a PDF as well, turn on Attach report PDF to lesson report emails under Organization > Settings > Lessons.

When this is enabled, each Student's report is attached as a PDF to both the automatic email sent when a Lesson is completed and any manual send from the Lesson page. When it's disabled, the report email is still sent, just without the PDF attachment.
