Tutors

Learn how you can view Tutors here.

Written by Raashi Thakran

Tutors are the users who deliver the actual teaching in Bobbin. Each Tutor runs Lessons, is linked to one or more Courses, and has Progress Reports generated about their teaching as those Lessons complete.

Your Tutors are managed in TutorCruncher and synced into Bobbin automatically, not added here. This article covers how they appear in Bobbin and what you can see and do on a Tutor's page.

The Tutors page

Open Tutors from the People section of the sidebar to see everyone teaching in your organization. The list shows each Tutor's name, email address and the number of Lessons they have completed, and you can use the search box at the top to find a Tutor quickly by first or last name. Internal Bobbin accounts don't appear in the list, so what you see is only your own people.

Click any Tutor to open their page. A Tutor's page has four tabs — Summary, Progress reports, Lessons and Attendance.

The Summary tab brings together:

  • Linked courses — the Courses the Tutor teaches, with their status and how far through each Course's plan they are.

  • Contact — the Tutor's email address.

  • Lesson activity — how many Lessons the Tutor has completed and their total number of Lessons.

  • Default course permission — see What a Tutor can do on a Course below.

The Progress reports tab has the Tutor's monthly, weekly and recent Progress Reports. These are created automatically as Lessons complete, and you can also use Generate report to produce one on demand.

The Lessons tab lists every Lesson assigned to the Tutor. You can filter by All, Upcoming or Past, and each row shows the Lesson, its date and time, the Students attending and its status (for example Planned or Complete).

The Attendance tab lists the Tutor's past Lessons, newest first, with their attendance rate at the top. Each row shows whether they attended, when they joined and left, and how long they were in the Lesson. Use All, Attended and Not attended to filter the list. Canceled Lessons, and Lessons with no register mark or classroom session to go on, aren't counted in the rate.

How your Tutors get into Bobbin

TutorCruncher is the source of truth for your Tutors. They're synced into Bobbin automatically — you don't add them by hand, and there's no Add tutor button on the Tutors page.

A few things follow from this:

  • Tutors are read-only in Bobbin. A Tutor's name, email and timezone are managed in TutorCruncher. If you need to change them, update the Tutor in TutorCruncher and the change syncs across — you won't see Edit or Actions on their Bobbin page.

  • Tutors appear as they're needed. A Tutor is synced into Bobbin when they're set up in TutorCruncher, and whenever they're assigned to teaching that flows through to Bobbin as a Course or Lesson.

  • What a Tutor can do on a Course comes from TutorCruncher. Each Tutor's permissions on the Courses they teach are taken from their permissions in TutorCruncher (see What a Tutor can do on a Course below).

  • Signing in. Tutors reach Bobbin using Login with TutorCruncher — they don't need a separate Bobbin password.

To remove a Tutor, remove or deactivate them in TutorCruncher. Their teaching history stays intact in Bobbin so existing Lessons and Reports aren't affected.

What a Tutor can do on a Course

A Tutor's access is set per Course on TutorCruncher, controlling how much they can change on it. Every level lets a Tutor mark their Lessons complete and cancel them. The levels differ in what else the Tutor can change:

  • Full access - schedule, edit, cancel, delete and complete Lessons. Edit the Course, change who's on it, and delete it.

  • Add & edit - the same as Full access in Bobbin. The only difference is in TutorCruncher, where Full access also lets a Tutor mark the whole Job as finished.

  • Edit only - edit, cancel, delete and complete Lessons, and edit the Course's details. Can't schedule Lessons, change who's on the Course, or delete it.

  • Complete only - complete and cancel Lessons. Can't schedule, edit or delete Lessons, or change the Course.

The same levels decide what a Tutor can do with homework on the Course: Full access and Add & edit can set, edit and delete it, Edit only can edit it, and Complete only can only see it. See Homework.

These permissions come from each Tutor's permissions in TutorCruncher, so you set and change them there rather than in Bobbin. Because the level applies per Course, the same Tutor can have different access on different Courses.

Default course permission

The Default course permission card on a Tutor's Summary tab sets the access level the Tutor gets on Courses they're newly added to. Existing Courses aren't affected. When you choose a level, the card shows what it allows underneath, so you can check before clicking Save default. Only Administrators see this card.

Tutor sign-in and the mobile app

Tutors are the only users who can use the Bobbin mobile app, which is built around the day-to-day job of running Lessons and writing up notes. Tutors sign in — both on the web and in the app — with Login with TutorCruncher using their existing TutorCruncher credentials, so there's no separate Bobbin password to manage. The app keeps them signed in for 30 days.

A Tutor only sees what's relevant to them — their own Lessons, Courses and Students — rather than your whole organization. On a Lesson page they can also see the join links for their own Students, so they can pass one on to a family who can't find their invitation.

If Tutors can view other Tutors' reports is turned on in TutorCruncher, Tutors can also read the completed Lessons other Tutors taught on their Courses. See Courses & Course Outlines.

In the classroom, Tutors start the Lesson and let Students in, and they can bring in a second device such as an iPad with Add a device. See The tutor-led classroom and Using a second device in a Lesson.

The mobile app can send Tutors a daily push notification summarizing the Lessons they have that day. It's switched off until it's enabled for your organization.

Tutor emails

Tutors are emailed when a Lesson is ready for them to review, and when an in-person recording's transcript needs its speakers checking. Each Tutor can switch these off for themselves with Lesson ready for review and Transcript ready for review under Notifications on their profile. A Tutor who works for more than one agency sets these separately for each one.

Tutors who work for more than one agency

A Tutor who also teaches for another agency on Bobbin switches between agencies using the Organization menu at the top of the sidebar, the same way you would if you worked for more than one organization.

Their Lessons, Recordings and Calendar show the Lessons from all their agencies together, labeled by agency, with an agency filter. A Student they teach at more than one agency appears once in their Students list, with each agency's recording choice. Your organization's data stays separate: they only see your Students and Lessons where they teach them.

Two-factor authentication

Because your Tutors sign in through TutorCruncher, their password and two-factor authentication are managed in TutorCruncher rather than in Bobbin.

Connecting an AI assistant

If you've turned on Enable MCP server under Organization > Settings > API, Tutors can connect Claude or a similar AI assistant to Bobbin. Their assistant only sees their own Courses, Lessons and transcripts. See Connecting Claude to Bobbin.

Files and resources

Tutors can use your organization's shared files and folders as well as building a personal library of their own, and can attach shared files to the Courses they teach. Inside a live Lesson, the library panel gives them the shared files, the Course's files, their own library and ready-made Math, Language, Science, Music and Other resources without leaving the whiteboard.

Every document and folder records who added it, so you can see at a glance what came from which Tutor.

Tutor performance feedback

Bobbin generates AI performance feedback about each Tutor's teaching. By default, Tutors don't see the AI feedback about their own teaching — it's visible to Administrators only. If you'd like your Tutors to see it, an Administrator can turn on Show tutor performance feedback to tutors in the What tutors see section of Organization > Settings > Lessons.

Settings 'What tutors see' card with the 'Show tutor performance feedback to tutors' switch turned on

Progress Reports written about a Tutor work the same way: a Tutor can ask for one to be generated about themselves, but only an Administrator can edit, refine or remove it, or write the notes on it.
