Resources and the Document Library

Resources is where your organization's teaching files live: worksheets, past papers, slide decks, images. As an Administrator you decide what's shared across the organization, who can see what, and what gets attached to which Course.

Who sees what

Every file belongs to the person who uploaded it and sits inside one organization.

  • You see every file in the organization, whoever uploaded it.

  • Tutors see their own uploads, anything shared with them, and the organization's shared library.

Note: Seeing a file isn't the same as being able to change it. A Tutor can open a shared file and attach it to a Course they teach, but only its owner or an Administrator can rename or delete it.

Uploading and organizing

Click Upload files to add images, PDFs, and word-processor or presentation documents. Bobbin generates a thumbnail for each one, so the library is easy to scan visually.

Create folders to group related material — by subject, exam board or year group. Each folder shows how many files it holds, and a whole folder can be attached to a Course as a reusable set.

Note: Deleting a folder doesn't delete the files inside it — they stay in the library, unfiled. Deleting a file removes it for good.

Finding a file

Search by name, and narrow the list by who uploaded it, when it was uploaded, whether it's shared across the organization, and whether it sits in a folder.

Every file and folder shows who added it, which matters once several Tutors are contributing to the same library.

Sharing files

Sharing is an Administrator job. There are two ways:

  • With a particular person — for handing one Tutor a specific set of materials.

  • With a whole role — every Tutor in the organization, for example. This resolves as people come and go, so a Tutor who joins next term automatically gets everything shared with Tutors. There's nothing to redo when someone starts.

The organization's shared library

You can also mark a file or a whole folder as shared across the organization. That's your shared library: the material everyone should have, like house worksheet templates or a standard set of past papers.

It reaches Tutors read-only. They can open the files, use them in Lessons and attach them to their Courses, but they can't edit or remove them, and they can't add anything to an organization folder themselves. That keeps a curated set curated — you decide what's in it.

Attaching resources to a Course

Files and folders can be attached to a Course, so the material sits alongside the Course Outline and is ready in every Lesson on that Course. Tutors can attach their own files and anything from the shared library to the Courses they teach.

Removing a file from a Course only removes the link — the file stays in the library it came from.

Inside the Virtual Lesson Space

The library panel in the Lesson space gives a Tutor the organization's shared files, the Course's files and their own library, without leaving the whiteboard. Documents and slide decks are converted to pages when brought in, so they can be annotated during the session.

Coming from Lessonspace?

Your organization's document library can be imported into Bobbin automatically as part of the migration, keeping your folder structure. Tutors bring their own personal resources across themselves - worth asking them to do it before their first Bobbin Lesson. See Moving from Lessonspace to Bobbin.

Note: Files uploaded by someone who later leaves your organization aren't deleted with them. A shared worksheet stays in the library after its author has gone.
