Recording in-person Lessons with the Bobbin app

Find out how to record your face-to-face Lessons with the Bobbin mobile app.

Written by Raashi Thakran

If you teach Lessons face to face, you can record them with the Bobbin mobile app. Bobbin transcribes the recording and creates Lesson insights and a Lesson report for you, just like it does for online Lessons.

In-person recording is a beta feature that your agency needs to turn on. If you can't record, check with your agency first.

Getting set up

  1. Download the Bobbin app from the App Store or Google Play.

  2. Open the app and tap Sign in with TutorCruncher.

  3. Sign in with your TutorCruncher details.

You'll stay signed in for 30 days each time you use the app. Changing your password or turning two-factor sign-in on or off signs you out of the app straight away.

Recording a Lesson

  1. Open the app. You'll see your Lessons for the day.

  2. Find the Lesson and tap to start recording.

  3. Mark who attended while you record.

  4. Pause and carry on whenever you need to. It all counts as one recording.

  5. End the recording when the Lesson finishes. The app then uploads it.

The app keeps recording when your screen is locked or you switch to another app. You also don't need an internet connection while you record. If you're offline, the recording uploads automatically once you're back online.

Note: Recordings need to be at least 4½ minutes long. Anything shorter is discarded and won't get a transcript or report, and the app won't warn you beforehand.

Checking the transcript

Once your recording has been transcribed, you'll get an email saying your transcript is ready to review. You'll also see a banner on the Lesson page in Bobbin.

Bobbin can occasionally mix up who's speaking, so it asks you to check before it creates any insights:

  1. Open the link in the email, or go to the Lesson in Bobbin.

  2. Match each voice (Speaker A, Speaker B and so on) to the right person.

  3. If a single line is given to the wrong person, change just that line.

  4. Listen back to the recording if you're not sure who said something.

  5. Click Confirm speakers.

Bobbin then creates the Lesson insights and Lesson report. Nothing is created until you confirm, so it's worth doing this soon after the Lesson.

After you confirm

Once the insights are ready, you can review them and complete the Lesson report as per usual. See Completing a Lesson Report to understand how this works.

You can listen to the recording on the Lesson page and clicking a time in the transcript jumps to that point in the audio.

Online or in person

Lessons in Bobbin show an In person or Online tag. In-person Lessons don't have a Join Space button or join links for Students.

If you have permission to edit Lessons, you can change this from the Lesson's Actions menu by choosing Change online or in person. If a Lesson is marked In person but needs to happen online, change it to Online and the join options will return.

Your Lessons list and Calendar have a Delivery filter, so you can show only your in-person Lessons.

Tips

  • Keep your phone close to where you and your Student are talking, so the recording picks you both up clearly.

  • Recorded the wrong Lesson? You can discard a recording at any point before the insights are created.

  • One recording at a time. You can't start a second recording on a Lesson while one is still in progress or waiting for review.

  • Work with more than one agency? Each Lesson shows which agency it belongs to.

  • Don't want the review emails? You can turn off Transcript ready for review under Notifications on your profile, separately for each agency you work with.

Frequently asked questions

Why can't I start a recording?
Your agency may not have turned on in-person recording, a Student on the Lesson may have been opted out of recording, or the Lesson may already have a recording in progress. Contact your agency if you're unsure.

Why has my recording disappeared?
Recordings under 4½ minutes are discarded on purpose. If yours was longer than that, contact your agency.

My recording is stuck on "Uploading". Why?
Make sure your phone is online and leave the app open for a few minutes. If it still won't upload, the recording may not be recoverable, for example if your phone ran out of battery during the Lesson. Record again if you can, and let your agency know.
